Privacy Policy

Stonehouse Electric Company uses this in-house system only to run its electrical business. This page says what the system stores, who else can see it, and how to reach the office.

What we store

Customer contact details, job and estimate records, and invoice data. Employee accounts for the people who work here, including name, role, and sign-in. QuickBooks connection tokens, which are stored encrypted.

How we use it

We use this information only to schedule work, run jobs, bill customers, and keep Stonehouse's books. We do not sell it.

Who else sees it

We do not share it except with the service providers that operate the system for us: hosting, email and text messaging, and QuickBooks and Intuit payments.

Security

Staff sign in with their own account, and each role sees only the work that role is allowed to see. QuickBooks connection tokens are stored encrypted. The site is served over an encrypted connection.

Card and bank numbers

The CRM never stores card numbers or bank account numbers, because they go straight from the customer's browser to Intuit. The CRM keeps only the last 4 digits, the brand, the amount, and the status.

A saved card for a service plan keeps Intuit's card reference, the brand, the last 4 digits, and the expiry month and year. It does not keep the card number, the security code, or a full expiry. Saving a card stays off until Intuit approves it. Saving a card from an invoice or an estimate deposit uses the same Intuit card reference.
